Engagement Platform Selection + Transition

Responding to a campus-wide desire to be more connected, communicative and collaborative, the University Office of Student Affairs engaged the entire CWRU community in the selection of our new engagement platform, CampusGroups.

Background + History

The Division of Student Affairs at Case Western Reserve University engages students in meaningful co-curricular learning opportunities through developmental, intentional and comprehensive programs and services designed to foster:

For the past several years, the division has coordinated these experiences through a platform called OrgSync. After a collaborative, university-wide selection process, CampusGroups was chosen to replace OrgSync. The transition to CampusGroups is planned for summer 2018.

What is an engagement platform?

An engagement platform (sometimes called a student engagement platform or SEP) is an application that assists student engagement and participation in activities outside the classroom. It can serve many purposes:

  • a central space to plan, advertise, and track campus events and programming
  • a searchable directory of student organizations and campus resources
  • a collaboration and communication tool for campus groups of all sizes
Below are some features commonly offered in engagement platforms:
  • Community-wide calendars
  • Online forms
  • Event management tools
  • Workflow (approval) processes
  • Attendance tracking
  • Social media integration
  • Co-curricular transcripts
  • Integrations with other campus systems
  • Student organization registration
  • Analytics reports
  • Personal calendars for users
  • Document and photo storage

In an intentional effort to create a cohesive college experience, students receive access to the platform shortly after they are accepted to the university and maintain access after graduation.

Reasons for Transition

In mid-2016, we learned that OrgSync would be merged with another service to create a new platform called Campus Labs Engage. As more details about the new platform emerged in early 2017, the significant upcoming changes prompted a review of our community needs and other competing platforms.

Goals for Selection + Transition
  • Find a platform that will improve student success and engagement.
  • Include as many students, staff, and campus partners as possible in determining the essential functions needed.
  • Engage all schools and departments on campus (with all student populations) in using the new platform.
  • Facilitate a smooth transition for current users and onboarding process for new users.
